For mission trips, pilgrimages and church group travel

Collect church and mission trip payments in one link

Sell traveler and leader packages, put every family on an automatic payment plan that ends before the agency's deadline, and get consent forms signed at checkout, so nobody's counting checks in the church office.

Free to use. Travelers pay one 6% fee on top, so the church keeps its full price.

Youth missions, medical teams, pilgrimages and church group trips run on the same SquadTrip as every other kind of group trip: these are SquadTrip's figures as of October 2026.

What SquadTrip does for church trips

SquadTrip is a booking and payment page for church trips. Youth pastors, mission coordinators and trip committees use it to sell traveler and leader packages, take a deposit with automatic monthly payments that finish before the sending agency's or tour operator's deadline, handle fundraising with a lower price or a sponsor code, and get consent, medical and passport details signed at checkout.

Families and congregants book and pay on their phone. The coordinator sees who has paid, who has signed and who still owes on one dashboard, and the money goes to the Stripe account connected to the trip, which can be the church's. SquadTrip is free to use; travelers pay a 6% fee on top of the price.

Which trip are you running?

Church trips outgrow the office clipboard

Thirty travelers, three kinds of payment, a stack of forms and one deadline from the agency.

  • Checks clipped to a clipboard in the church office

Cards charged on the date; receipts by email.

  • Fundraising, sponsors and family payments in one spreadsheet

One balance per traveler. Fundraising lowers the price.

  • Forms still missing weeks before the trip

Signed at checkout. No form, no booking.

  • The agency's deadline lands before families have paid

Plans end on your date, before the agency's.

How it works

From the agency's packet to a paid-up team in three steps

  1. 1

    Upload the packet

The itinerary, cost sheet or brochure. The AI builds the trip page with packages, prices, a plan and the day-by-day. Nothing goes live until you publish.

  2. 2

Set packages, forms and the plan

Student, adult and leader prices, the consent and medical forms, passport details, and a last payment date before the agency's deadline.

  3. 3

    Share one link

In the bulletin, at youth group, in the church app. Travelers pay on schedule and you track everyone on one dashboard.

Built for church trips

Everything a mission team needs

  • Traveler and leader packages

Each with its own price and spots.

  • Payment plans families can keep up with

A deposit at sign-up, then monthly payments that end on your date.

  • Consent, medical and passport details at checkout

Required before anyone can book. Signed PDFs to download.

  • Fundraising and sponsor prices

A lower package after a fundraiser, a one-use code for a sponsored spot.

  • Rooming lists that build themselves

Roommates join with a room link. Export it for the guesthouse.

  • A waitlist when the team fills

Families join it on the trip page instead of calling the church office.

  • Group chat Packing lists and meeting times in one place.
  • Co-leaders as team members Share the dashboard with the treasurer and other leaders.
  • Buy now, pay later For US families, 4% to the family; you're paid in full.
  • Paid to the church's own Stripe Daily or weekly payouts.

Paid up before the agency's deadline

Sending agencies, tour operators and airlines want their money weeks before the team travels. Set the last payment date once and every traveler's plan ends before it.

  1. Nov 15Deposit at sign-up$250
  2. Dec 1Payment 1$270
  3. Feb 1Payments 2 and 3$540
  4. Apr 1Payments 4 and 5$540
  5. May 15Final team payment due to the agency
  6. Jul 10The team leaves for Guatemala
One student on a $1,600 package: a $250 deposit, then five automatic payments of $270, which is what the church receives. The family pays $1,696 in all with the 6% fee. The last charge lands six weeks before the agency's deadline, so the church never fronts the money.

See who's paid, who's signed and who's behind

Every traveler shows their package, forms and what's left to pay, updated as payments land. Export the list when the agency, the airline or the treasurer asks for it.

  • Every family's signed forms, ready to download

Fundraising, sponsors and the board report

Families, fundraisers and sponsors, on one balance

Church trips are paid for three ways at once. Two ways to handle it without a spreadsheet, and one file for the board.

Let fundraising lower the price

  • A second package priced at what's left after a group fundraiser, next to the full price
  • A one-use 100%-off code for a traveler whose trip is fully sponsored, so they still book and sign at a $0 checkout

The board report

For the board or finance committee: export every payment, refund and balance from the dashboard. It answers “where is the mission trip money” in one file.

How much does a mission trip cost per person?

There's no standard price: the cost per person is the trip's total budget divided by the travelers who pay. In our mission trip cost guide, a 12-person, 8-day team comes to about $1,815 per person, and airfare is the biggest single line. Where yours lands depends on:

  • Flights, and how far the team flies
  • Lodging and meals from your host or agency, per day
  • Project materials, translators and in-country transport
  • Whether leaders' places are spread across the paying travelers
  • Travel insurance and a buffer for the unexpected

Put the total on one page, take a deposit at sign-up, and let fundraising lower what each family owes.

The church trip year

When to open sign-ups, and when the money is due

Most churches announce a summer trip in the fall. Here's how the year usually runs.

  1. Fall

    Announce and sign up

The link goes out at youth group or in the bulletin. A deposit holds each spot; forms are signed at checkout.

  2. Winter

    Monthly payments and fundraising

Plans charge on their own. Fundraising lowers what's left.

  3. Spring

    The agency deadline

The last payment lands before it; export the roster.

  4. Summer

    Trip season

Most mission trips leave June through August.

  5. After

    Refunds and the report

Refunds under your policy, and the report for the finance committee.

The bulletin insert

Sunday's bulletin, in one link

Put the link on the bulletin insert, the announcement slide and the church app. Families scan it in the pew, pick a package, sign the forms and pay the deposit before the service ends.

  • Dates, prices and the payment plan on one page
  • Consent, medical and passport details at checkout
  • Questions answered in the trip's group chat, not the church office

Free to use. Travelers pay 6% on top.

On a $1,600 package the family pays $1,696 and the church keeps the full $1,600. Card fees are included. No monthly fee unless you want Premium.

Church trip questions, answered

What youth pastors, mission coordinators and trip committees ask before they move trip payments off checks and spreadsheets.

What's the best way to collect money for a church mission trip?

Put the trip on one booking page with a deposit and an automatic monthly plan that ends before the agency's deadline. Consent and medical forms are signed at checkout, and every traveler's balance shows on one dashboard. SquadTrip does this for free; travelers pay a 6% fee on top.

Can families pay for a mission trip in monthly installments?

Yes. You set the deposit, the number of payments and the last payment date. Cards are charged automatically, with an email reminder five days before each payment.

How do fundraising and sponsors work?

Add a second package priced at what's left after a group fundraiser, and move students to it as they qualify. For a fully sponsored traveler, create a one-use 100%-off code, so they still book and sign at a $0 checkout. Ask your treasurer before crediting money a student raises, or a gift earmarked for one student, to that student's balance: for a nonprofit that can be a private-benefit issue. Mission trip support letter template.

Can we collect consent forms, medical forms and passport details at checkout?

Yes. Forms and waivers are required and signed at checkout, and passport details can be required questions. Signed PDFs download from the dashboard.

Does the money go to the church?

It goes to the Stripe account connected to the trip, which can be the church's. Payouts are daily or weekly, before the agency's payment is due.

Can other leaders help manage the trip?

Yes. Add co-leaders and the church treasurer as team members, and they see the same dashboard.

What happens if a family misses a payment?

SquadTrip retries the card, emails the family and flags it on your dashboard. They can update their card from their own account, and you can add an optional late fee.

What happens when the team is full?

A waitlist opens on the trip page. When a spot opens, you offer it to the next person on the list.

How do refunds work when someone withdraws?

Your refund policy is agreed at checkout. Issue a full or partial refund from the traveler's page; it reaches them in 5 to 10 business days and shows on your dashboard.

Can a church run several trips a year from one account?

Yes. Each trip gets its own page, packages and plan, and all of them sit on one dashboard: the youth trip, the medical team and the pilgrimage.

What does SquadTrip cost for a church trip?

Nothing to use. Travelers pay one 6% fee on top of the price. On a $1,600 package the family pays $1,696 and the church keeps the full $1,600. No monthly fee unless you want Premium.
