For youth pastors and student ministry leaders

Make the mission trip a yes for every family in the youth group.

Put each student on a plan, let fundraising lower what their family owes, and give a fully sponsored student a free spot that still gets their forms signed. One link for 30 families.

Free to use. Families pay one 6% fee on top, so the church keeps the full price.

What this page is for

Youth trips get paid in pieces: a parent's monthly payment, a check from a grandparent, bake-sale cash, a sponsor who covers a whole spot. SquadTrip puts every student on one plan, handles fundraising with a lower-priced package or a one-use free code, gets consent and medical forms signed at checkout, and shows the youth pastor every balance on one screen.

Thirty students, one spreadsheet, and a deadline from the mission agency.

  • Every student's money is in a different cell

Each student has one balance. Every payment lands on it.

  • Forms are still missing weeks out

Consent, medical and passport details are signed at checkout. No form, no booking.

  • The agency's deadline arrives before the money

Plans end on your date, before the agency's.

  • Sponsors hand over cash with no student attached

A sponsored student books with a one-use code and signs at a $0 checkout.

How it works

How it works for a youth trip

  1. 1

    Upload the agency's packet.

The itinerary, the cost sheet, the forms. The AI builds the trip page with a student package, a leader package and a plan. Nothing goes live until you publish.

  2. 2

    Add the fundraising options.

A second package at the lower price students pay after a group fundraiser, and a one-use 100%-off code for a student whose trip a sponsor covers in full.

  3. 3

Share one link at youth group.

Families book on their phone, sign the forms and pay the deposit. The rest charges monthly, ending before the agency's final payment.

Two ways to handle fundraising without a spreadsheet.

A price after fundraising. The car wash raised $12,000 across 30 students, so each student's cost drops $400. Add a “Student · after fundraising” package at $1,200 beside the full price and move students to it as they qualify.

A free spot for a sponsored student. Create a one-use 100%-off code. The student still books, signs the forms and gets the trip updates. Your dashboard shows them as paid.

Paid up before the agency's deadline

Sending agencies want the team's money weeks before you fly. Set the last payment date once and every student's plan ends before it.

  1. Nov 15Deposit at sign-up$250
  2. Dec 1Payment 1$270
  3. Feb 1Payments 2 and 3$540
  4. Apr 1Payments 4 and 5$540
  5. May 15Final team payment due to the agency
  6. Jun 14The team flies
A $1,600 trip. A $250 deposit at sign-up in November, then five payments of $270 from December to April. The agency's final team payment is May 15, so the last charge lands six weeks early. A student who raises $400 moves to the $1,200 package in February, and their last two payments drop from $270 to $70. Each family pays $1,696 with the 6% fee; the church receives $1,600.

Youth trip questions, answered

How do I track fundraising for each student?

Each student has one balance. When the group raises money, move students to a lower-priced "after fundraising" package. For a fully sponsored student, use a one-use free code.

Can parents pay for a mission trip monthly?

Yes. You set the deposit and number of payments. Their card is charged automatically, with a reminder five days before.

Can a grandparent or sponsor pay toward a student's trip?

The family makes the payment from the student's account, in any amount of $35 or more, so a check from a relative can go straight onto the balance.

Can money a student raises go on their own balance?

Ask your church treasurer first. Group fundraising that lowers everyone's price is the simple case. Crediting a student's own fundraising, or a gift earmarked for one student, to their balance can be a private-benefit issue for a nonprofit, so many churches keep fundraising in a group pool. Student trip payment plans.

How do we collect consent and medical forms?

They're required at checkout. Signed PDFs download from the dashboard.

Can other leaders see the dashboard?

Yes. Add co-leaders as team members.

Does the money go to the church?

It goes to the Stripe account connected to the trip, which can be the church's. Payouts are daily or weekly.

What does it cost?

Nothing to use. Families pay one 6% fee on top of the price. On a $1,600 trip a family pays $1,696 and the church receives $1,600.
