For first-time retreat hosts

Your first retreat shouldn't start on your credit card.

Set a deposit that covers the villa's first payment, let guests pay the rest monthly, and let SquadTrip charge the cards. You plan the retreat. The money shows up on schedule.

Free to use. Guests pay one 6% fee on top, so you keep your full price.

What this page is for

SquadTrip is a booking and payment page for retreats. First-time hosts use it to size a deposit to the venue's first payment, put guests on an automatic monthly plan that ends before the venue's balance, and see who has paid on one dashboard. Guests book from a link in your bio or newsletter and pay on their phone. The money goes to your own Stripe account, usually the next business day.

The venue wants half now. Your guests want six months.

Every first retreat has the same gap: the villa or center wants 30 to 50 percent at signing, months before anyone arrives, and most guests can only say yes if they can pay over time. Without a plan, the gap lands on the host's card.

  • The venue deposit went on your card

Early deposits cover the venue payment. You never front it.

  • You're the one asking for money

Cards are charged on the date. Reminders go out from SquadTrip, not from you.

  • Who paid what lives in a notes app

Every payment logs to the guest who made it.

  • The balance is due before everyone's paid

Plans end on your date, before the venue's.

How it works

How it works for a first retreat

  1. 1

    Describe your retreat.

Type it out, or upload the venue's quote or your flyer. The AI builds the page with packages, a deposit, a payment plan and the day-by-day. Nothing goes live until you publish.

  2. 2

Set the deposit to your venue's number.

If the villa wants $9,000 at signing and you have 12 spots, a $750 deposit covers it with your first 12 bookings. Pick the last payment date before the venue's balance is due.

  3. 3

    Share one link.

Bio, newsletter, your studio's WhatsApp group. Guests pick a room, pay the deposit, and the rest charges monthly.

Build the plan backward from the venue's dates.

Start from the two dates on your venue contract and work back. Here is a 12-guest Catskills weekend at $1,850 a person:

  1. Jan 15Bookings open, $750 deposit each
  2. Feb 2812 deposits in$9,000
  3. Mar 1Venue signing deposit due$9,000
  4. Jul 1Payment 1, $550 each$15,600 in
  5. Aug 1Final payment, $550 each$22,200 in
  6. Aug 15Venue balance due$9,000
  7. Oct 9Retreat begins
Twelve guests at $1,850. Twelve deposits of $750 bring in $9,000 by the end of February, which pays the venue's signing deposit on March 1. Two monthly payments of $550 per guest bring in the remaining $13,200 by August 1, two weeks before the venue's balance is due. Each guest pays $1,961 with the 6% fee; you receive the full $1,850.

Guests who need more time

A guest who wants a longer runway can choose Klarna, Afterpay or Affirm at checkout. They pay over time; you're paid in full within days. A 4% fee is added to their total. This matters most on a first retreat, when you don't yet have a waitlist to fall back on.

See who's paid without asking

Every guest shows their room, what they've paid and what's left, updated as payments land. Forms, dietary needs and emergency contacts arrive with the booking. Export the list for the venue's rooming sheet.

“On our side we always had a clear picture of who was in, who was paid, and who still needed a nudge, without chasing spreadsheets across five different tools.”

First-retreat questions, answered

How do I collect deposits for a retreat?

Create the trip, set a minimum deposit, and share the booking link. Guests pay the deposit at checkout and the rest on the schedule you set.

How big should the deposit be?

Enough that your first bookings cover the venue's signing payment. Divide the venue deposit by the number of spots you're confident you'll sell early. On SquadTrip the median retreat deposit is about $536.

Can guests pay for a retreat in installments?

Yes. You choose the first payment date and number of payments. Cards are charged automatically, with a reminder five days before.

What if someone books after payments have started?

Their schedule is recalculated so they still finish by your last payment date.

What if a guest's card fails?

SquadTrip retries the card, emails the guest, and flags it on your dashboard. The guest can update their card from their own account.

Do guests need a SquadTrip account?

No. They book from your link with a card, Klarna, Afterpay or Affirm.

What does it cost?

Nothing to use. Guests pay one 6% fee on top of your price, which covers card processing. On a $1,850 room a guest pays $1,961 and you receive $1,850.
