TL;DR

  • A senior trip comes down to seven decisions: approval, destination, headcount, room pricing, payment schedule, rules and refunds. Make them in that order.
  • Real 2025–2027 handouts we checked priced senior trips at about $719 to $2,075 per student, depending on destination, flights and room type.
  • Price each room type separately. Doubles cost more per student than quads. In one 2027 package the gap was $180.
  • Take a deposit about eight months out, finish installments a few weeks before the tour company's final date, and say in writing which payments are non-refundable.
  • Have every student and parent sign the behavior contract and the refund policy before the first payment.

To plan a high school senior trip, get approval first, pick a destination that fits what families can pay, confirm the minimum headcount with your tour company or vendors, price quad, triple and double rooms separately, then open registration with a deposit and a monthly payment plan that finishes before the vendor's final payment date. In senior trip handouts we checked in October 2026, that came to about $719 to $2,075 per student. SquadTrip runs the collection side: each room type is its own package at its own price, roommates join the same room through a room link, and installments are charged automatically.

Run sign-ups, room choices and payment plans from one link. SquadTrip collects deposits, charges each installment on its date and keeps a waitlist when the trip fills. Free to use.

Get the Right Kind of Approval Before You Announce Anything

First decide whether this is a school trip or a private one. That decides who approves it and whose rules apply.

1. School-sponsored trips go through the district

A trip during the school year, led by staff, usually needs the district's trip approval and sometimes a board vote. Gowanda's Board of Education in New York approved its class of 2025 New York City trip after seniors presented the plan, and the board kept the right to cancel it if student health and safety became a concern (reported October 2024).

Some districts also require parents to agree before planning goes further. Canyons School District in Utah requires a parent meeting for high school overnight trips, and if fewer than 75 percent of parents support the plan, "all proposals for the trip will be abandoned" (checked Oct 2026).

2. Trips after graduation may be private

Provo City School District's student travel policy (revised March 2024) says "Senior parties" or "graduation" trips after graduation, and trips run by staff or parent groups outside the school calendar, "are not approved, sponsored, or otherwise endorsed by the School District." The principal must still be told before a staff member promotes one, and school communication systems may not be used for it.

3. Use the school's process for the rest

The general steps for approvals, budgets and chaperone clearances are in how to plan a school trip. This guide covers what is different about senior trips.

Pick a Destination Families Can Actually Pay For

Destination sets the price more than anything else. Here is what real handouts showed, checked in October 2026. Older trips are labeled with their year.

TripSchool (state)LengthTransportPrice per studentWhat the price covers
New York City, class of 2025Gowanda High School (NY)3 daysNot stated$719–$879, by headcountItinerary sites; four chaperones included in the student price
Orlando theme parks, class of 2027Carolina Forest High School (SC)5 days, 4 nightsCharter bus$975, quadBus, 4 nights at a Disney resort (4 per room), 2-day Disney Park Hopper, Universal 2-park pass. Meals not included
Florida air package, class of 2023Schuylerville Central (NY)4 days, 3 nightsFlight$1,450–$1,620 (2022 estimate)Flights, 3 nights, local transport, park tickets, some meal vouchers
Retreat plus Universal, class of 2027Wheaton Academy (IL, private)5 daysFlight$1,900Airfare, lodging, park admission, activities and meals
Disney and Universal, class of 2027Greater Nanticoke Area High School (PA)5 days, 4 nightsNot stated$1,895–$2,075, by room typeTour package from World Class Vacations; insurance extra

Three patterns show up:

  • Bus trips cost less than flights. The bus trip to Orlando was $975, while the Florida packages with flights were $1,450 to $1,900.
  • Meals are the line that moves. One trip left meals out of the price. Another included all of them. Compare like with like.
  • Price depends on how many go. Gowanda's price dropped $160 per student between the smallest and largest group.

Choose your destination this way

Choose a regional city by bus if:

  • Families need the price under about $1,000
  • You want a three- or four-day trip that misses little school
  • Many students have never traveled without family

Choose a theme park or beach package if:

  • The class has asked for it, and families can pay $1,000 to $2,100
  • You want a tour company to handle tickets, transfers and night security

Choose a flight package only if:

  • The destination is too far to drive in a day
  • You can lock the headcount early, because airfare drives the price and can change. Schuylerville's handout warned that its prices were "high estimates" and the final price would depend on airfare at booking.

Before you commit, find out who actually wants to go. A free trip interest form lets students and parents say "I'm in" so you have a real count for the tour company.

Know Your Minimum Headcount and What Happens Below It

Tour companies and hotels price on a minimum number of paying travelers. Miss it and the price goes up, or the trip is off.

  • Greater Nanticoke Area (2027): "If the required number of students is not reached to hold the trip, this deposit will be refunded in full."
  • Schuylerville (2023 trip): local transport was priced for 55 passengers, and "If passenger number drops below 45 there will be additional costs."
  • Gowanda (2025 trip): $879 per student for 25–29 students, $799 for 30–34, $759 for 35–39 and $719 for 40–51.
  • Hamburg High School, NY (December 2026 trip): "The final price will depend on how many students sign up," and the final cost is known only after registration closes.

Put three things in writing before the first deposit:

  1. The minimum number of paying students
  2. The price at each headcount, if it changes
  3. What happens to deposits if you don't reach the minimum

Price Each Room Type Separately

Senior trips are usually sold per student by room occupancy: quad (four), triple (three) and double (two). Rooms typically have two double beds, so a quad means two students per bed. Schuylerville's form spelled that out for families.

Room typeStudents per roomGreater Nanticoke Area, 2027Schuylerville, 2023 (estimate)
Quad4$1,895$1,450
Triple3$1,955 (+$60)$1,530 (+$80)
Double2$2,075 (+$180)$1,620 (+$170)
Single1Not listed"No Single Rooms"

1. Let students choose roommates, with limits

Hamburg High School has students pick their own roommates, and says the travel company may combine rooms with fewer than four students. Schuylerville told students to "Ask your friends, do not assume they are going," and to send forms in together.

2. Warn families that a dropout changes the room

If one student in a triple drops out, the other two are now a double. Schuylerville's handout said it plainly: "Cancellations may cause the cost for roommates to change." Decide who pays the difference, and put it in the refund policy.

3. Collect room choice at registration

On SquadTrip, make a package for each room type at its own per-student price, such as "Senior, quad room" and "Senior, double room." Set up rooms with spots so friends join the same room through a room link, then export the rooming list for the tour company. When rooms are full, students join the waitlist.

Let roommates book the same room

Price quad, triple and double rooms as separate packages, share a room link with friends, and let SquadTrip charge each student's installments automatically. Free to use.

Set a Deposit and Payment Schedule That Finishes Early

Real 2027 schedules took deposits of $100 to $750 between August and September 2026, then spread the rest over two to eight payments:

  • Carolina Forest: $100 non-refundable deposit by 25 Sep 2026, then $110 every two weeks from October, finishing with $105 on 22 Jan 2027. The trip "must be paid in full by midnight January 22, 2027."
  • Greater Nanticoke Area: $360 deposit in September 2026, then $225 a month, with a larger February payment for triples ($325) and doubles ($445), and a final $185 in April 2027.
  • Wheaton Academy: three non-refundable payments of $750 (7 Aug 2026), $600 (2 Oct 2026) and $550 (20 Nov 2026).

Sample schedule by room type

Here is an example, not a typical price. A May trip priced at $1,800 quad, $1,860 triple and $1,980 double, with the tour company's final payment due 1 April:

DateWhat happensQuadTripleDouble
1 SepRegistration opens; deposit due$300$300$300
1 OctInstallment 1$250$260$280
1 NovInstallment 2$250$260$280
1 DecInstallment 3$250$260$280
1 JanInstallment 4$250$260$280
1 FebInstallment 5$250$260$280
1 MarInstallment 6 (final)$250$260$280
1 AprTour company's final payment duePaidPaidPaid
Total$1,800$1,860$1,980

Every room type finishes a month before the vendor deadline, so you have time to follow up with anyone who is behind. Student trip payment plans covers how to handle families who fall behind, and school trip fundraising ideas covers how fundraising can lower the price for everyone.

Some schools let fundraising pay installments but not the deposit. Greater Nanticoke Area says fundraiser profits may be used "except the initial deposit."

Plan Chaperones Into the Price

Chaperones need beds, tickets and meals too. Decide early who pays for them.

1. Find out whether the tour company gives free places

Many tour companies give free adult places once enough students pay. EF's pricing page, for example, says when six paying travelers sign up, "we cover your spot," and "for every six additional travelers you enroll after that, you earn a free chaperone spot" (checked Oct 2026). Other companies build chaperones into the student price. Gowanda's quote included four chaperones in the per-student cost.

2. Follow your district's ratio

Ratios differ by district and trip. Our school trip planning guide has examples. Background checks take time, so start them when you pick chaperones.

3. Give chaperones their own package

If chaperones pay a different price or nothing, give them their own package so they don't show up as students with unpaid balances.

Write the Rules and Behavior Contract Before Anyone Pays

Seniors are often 18 and get more freedom on the trip, so spell out exactly what is allowed.

What real senior trip rules say

  • Carolina Forest: students who show inappropriate or illegal behavior "will be sent home immediately at his or her parents' expense." All participants must travel on the buses with the group, and families pay for damage to buses or rooms.
  • Hamburg High School: in free time, students stay with a group of their choice and may not walk around alone. Chaperones are not always with the groups during free time.

What to put in your behavior contract

  1. Eligibility: grades, attendance and discipline standing, and the date it is checked
  2. Zero-tolerance items: alcohol, drugs, vapes, weapons, leaving the group
  3. Free-time rules: group size, check-in times, phone on and charged
  4. Room rules: curfew, room checks, no visitors in rooms
  5. Sent home: who decides, who pays, and that payments are not refunded
  6. Damage: who pays for damage to rooms or buses
  7. Signatures: student and parent, or the student alone if 18 and your school allows it

Our permission slip template has overnight and teen sections you can adapt, including how to handle students who are 18.

Decide Refunds Before the First Deposit

Refund rules cause more arguments than the price. The handouts we read tie refunds to what the school can still get back from vendors:

  • Carolina Forest: the $100 deposit is non-refundable, there are "No Refunds after January 27, 2027, unless HCS or Disney cancels the trip," and once final payments for buses, rooms and tickets are made, "there will be no refunds for any reason."
  • Schuylerville (2023 trip): the last day to cancel with a refund, minus the $200 deposit, was 2 Dec 2022, a week before the final balance was due.
  • Greater Nanticoke Area: trip insurance is "optional but highly recommended," and families had to buy it through the school's link by 15 Oct 2026.

Wheaton Academy recommends Cancel for Any Reason insurance. The National Association of Insurance Commissioners says such policies "typically only reimburse a portion of your trip expenses, not the full amount," and usually must be bought within a set period after booking (June 2026).

For a full policy you can copy, with withdrawal deadlines, waitlist replacements and medical withdrawals, see our school trip refund policy template.

Run Registration, Payments and Signatures on One Page

On SquadTrip, a senior trip runs from one booking page:

  • Room packages for quad, triple and double, each at its own price, with rooms friends join through a room link
  • Payment plans charged automatically, with reminders before each due date; failed payments retry and ask the family for a new card
  • Registration questions for emergency contacts, medical notes and ID type
  • E-sign for the behavior contract and refund policy at checkout
  • A waitlist for when rooms fill, plus refunds from the dashboard and a rooming list export

The Starter plan is free. Families pay a single 6% processing fee on top of the trip price, so the class receives the full price. On a $1,800 quad, families pay $1,908. Mention the fee in the trip letter.

FAQ

How much does a high school senior trip cost per student? In handouts we checked in October 2026, about $719 to $2,075. A three-day New York City trip was $719 to $879 by headcount, a bus trip to Orlando was $975 without meals, and a Disney and Universal package was $1,895 to $2,075 by room type.

What do quad, triple and double occupancy mean on a senior trip? Four, three or two students share a room. The price per student rises as fewer share. One Pennsylvania school's 2027 package was $1,895 quad, $1,955 triple and $2,075 double.

When should we start planning a senior trip? Start in junior year or at the very start of senior year. The 2027 trips we looked at took deposits in August or September 2026.

Does a senior trip need school approval? A school-sponsored trip needs your district's approval, often a board vote. Some districts treat trips after graduation or run by parent groups as private trips they don't sponsor. Ask your principal which kind yours is.

What happens if not enough seniors sign up? The per-student price rises or the trip is cancelled. Write down the minimum headcount, the price at each headcount and what happens to deposits below the minimum before anyone pays.

Conclusion

Get the right approval, confirm the minimum headcount before you announce a price, and price each room type separately. Finish the payment plan a month before the tour company's deadline, and have families sign the rules and refund policy at registration.

Frequently Asked Questions

In school handouts we checked in October 2026, prices ran from about $719 to $2,075 per student. A three-day New York City trip was $719 to $879 depending on how many students went, a bus trip to Orlando with four students per room was $975 without meals, and tour-operator Disney and Universal packages ran $1,895 to $2,075 depending on room type. Trips that include flights cost more than bus trips to the same place.

They are the number of students sharing a hotel room: four in a quad, three in a triple, two in a double. The per-student price goes up as fewer students share, because the room cost is split fewer ways. One Pennsylvania school's 2027 package was $1,895 quad, $1,955 triple and $2,075 double. Rooms usually have two double beds, so four in a room means two to a bed.

Start in the junior year or at the very start of senior year. The 2027 trips we looked at took deposits in August or September 2026 for trips between March and May 2027, and the school approval and parent meeting came before that. Final payments were due one to four months before departure.

A school-sponsored senior trip needs approval through your district's process, and often a board vote. Some districts treat trips after graduation, or trips run by parent groups outside the school calendar, as private trips the district does not sponsor. Provo City School District's policy, for example, says such trips are private and that school communication systems may not be used to promote them. Ask your principal which kind of trip yours is before you announce it.

Tour packages are priced on a minimum headcount, so the per-student price rises or the trip is cancelled if you fall short. One 2027 handout promises a full deposit refund if the required number of students is not reached. Another school's 2025 trip was priced at $879 per student for 25 to 29 students and $719 for 40 to 51. Write down what happens below the minimum before anyone pays.
