TL;DR

  • In 2025–2026 school letters, a 3-day bus trip to Washington DC cost $555 per student, 4-day bus trips cost $855 to $1,069, and 4-day trips with flights cost $1,800 to $2,417.
  • Prices are per student with four to a room, and usually include transport, hotel, most meals, admissions, a tour director and night security.
  • Busing is about half the price of flying. Most published letters come from schools within a day's drive.
  • Families typically pay a $50 to $250 deposit, then three or four payments, finishing one to two months before departure.
  • Many DC sights are free, so the cost is mostly the bus, the hotel and the meals.

An 8th-grade Washington DC trip costs about $555 to $1,069 per student by bus and $1,800 to $2,417 with flights, based on nine school letters and trip pages for 2025 and 2026 trips that we checked in October 2026. The biggest drivers are trip length, bus or flight, and how many students fill each bus. These prices come from schools and their tour companies, not from SquadTrip; we don't run DC trips. If your school books its own DC trip, or collects each family's share for a tour company, SquadTrip can run registration, deposits and automatic payment plans from one link.

3 days, 2 nightsBus$555
4 days, 3 nightsBus$855–$1,069
4 daysFlight$1,800–$2,417

Two cautions. Most published letters come from Ohio and nearby states, within a day's bus ride of DC. And the flight examples are a public school's 2025 trip and a private school's program, so treat them as a guide to the gap, not a quote.

Why Bus Trips Cost Half as Much as Flying

1. Transport is the biggest swing

The two flight trips cost roughly twice the four-day bus trips. On a bus trip, the coach also moves the group around DC all week. On a flight trip, you pay for flights and then for ground transport in DC as well.

2. Headcount sets the bus price

A coach costs about the same whether it's full or not, so fewer students means a higher share each. Classic Student Tours' 2026 Carlisle letter prices the trip at:

Paying participants per motor coachPrice per student
44–47$855
40–43$880
36–39$920
32–35$955

Olentangy Berlin's and South Effingham's prices are both based on at least 40 paid per bus. Classic also notes its prices "are subject to adjustment if suppliers increase their cost."

3. Many of the sights are free

The Smithsonian's museums page says general admission is free at all Smithsonian museums except Cooper Hewitt in New York, though the National Museum of African American History and Culture and the National Air and Space Museum require free passes (checked Oct 2026). The U.S. Capitol Visitor Center says "All tours, programs, and activities are free of charge," and reservations are recommended. Paid extras, such as the Spy Museum that two Ohio packages include, add to the price.

What the Package Price Usually Includes

Reading the letters side by side, most four-day packages include:

  • Round-trip bus (or flights) and transport around DC
  • Three hotel nights, usually four students per room with two double beds
  • Most meals: ten in the Prodigy packages, 11 in Reynoldsburg's
  • Admissions and guided tours, often including the Capitol, Arlington National Cemetery and the major memorials
  • A tour director, and night security at the hotel
  • Taxes and gratuities
  • Extras such as a T-shirt, a group photo, or, in Reynoldsburg's case, "a wreath ceremony at the Tomb of the Unknown Soldier"

What's often left out: a few meals (South Effingham's FAQ says "There are 4 meals not covered by the trip"), spending money, and trip cancellation insurance. Reynoldsburg's package includes group accident and medical insurance, which is not the same as cancellation cover.

A Sample 3-Day and 4-Day DC Itinerary

This is a sample built from the sites named in the school letters above, not a tour company's itinerary. Check opening hours and timed passes before you book.

Day3-day trip4-day trip
Day 1Early departure by bus; afternoon at Arlington National Cemetery; evening tour of the Lincoln, Vietnam Veterans and Korean War memorialsEarly departure; stop at Gettysburg on the way, as Reynoldsburg and Hilliard Weaver do; evening memorials tour
Day 2U.S. Capitol tour (reserve ahead); Smithsonian museums on the National Mall; dinner and hotelCapitol tour; Smithsonian museums on the Mall; U.S. Holocaust Memorial Museum
Day 3Morning at one more museum or memorial; depart for home after lunchArlington National Cemetery and the Tomb of the Unknown Soldier; an afternoon museum or the Spy Museum; sit-down dinner
Day 4Morning stop on the way home, such as the U.S. Naval Academy, as Hilliard Weaver's trip does; return late evening

The three-day version suits schools within about a half-day drive. Goff Middle School's three-day trip, for example, stayed two nights in Bethesda, Maryland.

How Many Chaperones You Need, and What They Pay

Ratios in the 2026 letters we read varied widely:

  • South Effingham (GA): the package lists a 1:10 chaperone-to-student ratio, and the FAQ says 8 to 12 students per chaperone.
  • Goff (NY): each chaperone is responsible for a group of four students. Chaperones pay the same $555 as students.
  • Springboro (OH): typically one parent supervises three students, and parent chaperones must pass a background check. Parents pay about $694 against $1,050 for students, sharing a room with three students.
  • Reynoldsburg (OH): chaperones are school employees only. "Unfortunately, parents/guardians or other family members cannot chaperone the trip."

Your district's ratio comes first. Our guide to planning a school trip covers how ratios and clearances work. If chaperones pay a different price from students, give them their own package or price line so families can see who pays what.

What a DC Trip Payment Plan Looks Like

Most tour companies run a deposit plus three or four payments, with the balance due one to two months before departure.

Three things to copy:

  1. Spread payments over four to five months. For fall trips that means paying through the summer, so tell families in the spring.
  2. Finish a month or more early. That margin covers late payers and lets the operator confirm final numbers.
  3. Set a "current by" date. Classic Student Tours' letter says that on 21 Aug 2026 "ALL ACCOUNTS MUST BE CURRENT," or participants are removed until they catch up, and their seat may go to the waiting list.

Our guide to student trip payment plans covers how to size the deposit and handle families who fall behind.

Plan for a cancellation in DC

DC trips have a risk other trips don't: a government shutdown can close federal sites. Prodigy Student Travel's 2026 Hilliard Weaver letter says that if the tour is cancelled "FOR SECURITY REASONS OR A GOVERNMENT SHUTDOWN" through 13 Aug 2026, each student gets a 90% refund ($801 of $890). A school cancellation from 14 Aug 2026 refunds 88% ($783). Read your operator's terms, and use our school trip refund policy template to write your own.

Lower the Price With Fundraising, Not Exclusions

Several schools say outright that cost should not keep a student home. Goff Middle School's page says "no student will be excluded from field trips, including the Washington trip, due to financial need," and lists a pancake breakfast, a car wash and trip sponsors.

Reynoldsburg splits fundraising profit "equally amongst all students attending the trip" and deducts it from the final payment. That approach lowers the price for everyone. School trip fundraising ideas has 12 ideas and explains why many booster clubs split funds evenly rather than crediting one student's account.

Choose the Right Kind of DC Trip

Choose a 3-day bus trip if:

  • You're within about a half-day drive of DC
  • Families need the price near $500 to $600
  • You want to miss as little school as possible

Choose a 4-day bus trip if:

  • You're within a day's drive
  • You want Gettysburg, Arlington and the Capitol in one trip
  • You can fill at least 40 seats per bus

Choose a flight package if:

  • The drive would take more than a day each way
  • Families can pay $1,800 or more
  • You can lock the headcount early

Book it yourself instead of using a tour company only if:

  • Your district allows it, and you have time to book the bus, hotel, meals, guides and night security yourself
  • You want control of every line in the price

Where SquadTrip Fits

Most tour companies in these letters take payments from families directly. Prodigy, Classic and Scholastica all have families pay on their own sites. If that's your setup, you don't need another payment tool.

SquadTrip helps when your school books the trip itself, or when the tour company invoices the school and you collect each family's share. Families register their student on one page, answer your registration questions (emergency contacts, medical notes, room requests), e-sign the permission and conduct forms, and pay a deposit. Installments are then charged automatically, with reminders before each due date, and failed payments retry and ask for a new card. Chaperones can book a different package at a different price. When the trip fills, families join a waitlist, and you can export the rooming list for the hotel.

The Starter plan is free. Families pay a single 6% processing fee on top of the trip price, so the school receives the full price. On a $960 trip, families pay $1,017.60. Our field trip permission slip template has an overnight version you can turn into registration questions.

Fill the bus to bring the price down, spread payments over four or five months, finish a month early, and write down what happens if the trip is cancelled. Then the trip is about the Capitol and the memorials, not chasing payments.
