What SquadTrip does for birthday trips
SquadTrip is a booking and payment page for group birthday trips. The friend planning a 30th, 40th or 50th birthday trip lists the villa rooms, the extras like the birthday dinner and a boat day, and a deposit. Each friend books their own spot and pays on an automatic payment plan that finishes before the villa balance is due.
Friends book on their phone and send a room link to their roommate. The planner sees who has paid on one dashboard, and the money goes straight to their own Stripe account, so nobody fronts the villa. SquadTrip is free to use; travelers pay a 6% fee on top of the price.
Birthday trips stall between “I'm in” and paying
Fourteen yeses in the group chat. One villa deposit on your card.
Everyone's in until it's time to pay
A deposit books each spot, so “I'm in” means booked.
The villa ends up on your card
Deposits come in before you book, straight to your Stripe.
Chasing payment requests one friend at a time
Payments charge on your dates, with reminders sent for you.
Nobody knows who's sleeping where
Each friend picks a bed in a villa room and pays for it.
How it works
From the group chat to a paid-up villa in three steps
- 1
Describe the trip or upload the flyer
Tell the AI where, when and who, or upload your flyer. It builds the trip page with villa rooms, prices, a deposit and the itinerary. Nothing goes live until you publish.
- 2
Set rooms, extras and the plan
Shared and private villa rooms, the birthday dinner and boat day as add-ons, then a deposit and a last payment before the villa balance is due.
- 3
Drop one link in the group chat
Friends book, invite their roommate with the room link and pay on schedule. You see who's paid on one dashboard.
Built for birthday trips
Everything the birthday trip needs
Deposits and automatic payment plans
Charged on your dates, done before the villa balance is due.
Villa rooms, paid by the bed
Each friend pays their own spot and invites their roommate.
Add-ons for the birthday extras
The dinner, the boat day, the photographer, priced one by one.
Cover the birthday person's spot
Build their share into everyone's price, then send a 100%-off code for their spot.
Klarna, Afterpay and Affirm
For US friends. A 4% fee is added; the trip is paid in full.

Paid up before the villa balance is due
Many villa hosts want the balance 30 to 60 days before check-in. Set the last payment date once, and every friend's plan finishes in time.

8 to 7 months out
Pick the place and dates, then ask who's in
Post a free interest form in the group chat and see who's serious before you price anything. A short promo video of the villa gets more yeses than a screenshot.
About 6 months out
Open booking with a deposit
The typical friend books five and a half months ahead. A $300 deposit turns a yes into a booked spot. Price it with our group trip pricing worksheet.
About 5 months out
Book the villa with the deposits in hand
Pay the villa deposit from money that's already in your Stripe account, not your own card. Rooms and beds are set, so everyone knows where they're sleeping.
Every month
Let the payment plan run
Payments charge automatically with reminders, and failed cards retry on their own. Use the chat for the itinerary and a poll for the dinner dress code. How automatic payment plans work.
6 to 8 weeks out
Last payment in, then pay the villa balance
Many villa hosts want the balance 30 to 60 days before check-in. End every plan a week or two before yours, so you pay the host with money that's already there.
2 weeks out
Collect flight times and lock the plan
Flight times and dietary needs come from the registration questions at checkout, so airport pickups and the birthday dinner are easy to book.

SquadTrip vs payment apps vs fronting it yourself
The three ways birthday trips usually get paid for, side by side.
| What you need | SquadTrip | Venmo, Cash App, Zelle + a spreadsheet | Putting it all on your card |
|---|---|---|---|
| Getting friends to commit | A deposit books their spot | A yes in the chat | You've already paid; they owe you |
| Paying over time | Automatic payment plan on your dates | Each friend sends each payment by hand | Whatever they pay back, whenever |
| Villa rooms and roommates | Each friend books and pays for a bed | A list in your notes app | You assign rooms and chase each share |
| Dinner, boat day, extras | Add-ons on each friend's booking | More requests to track | More on your card |
| Klarna, Afterpay, Affirm | Yes, for US travelers | No | No |
| Who's paid, at a glance | Live dashboard, room by room | Screenshots and a spreadsheet | Your bank statement |

What planners ask before they move the birthday trip out of the group chat.
How do I collect money from friends for a birthday trip?
Make one booking link where each friend picks a room, pays a deposit and goes on an automatic payment plan. SquadTrip charges every payment on the dates you set, sends reminders and receipts, and shows who has paid, so you stop sending Venmo or Cash App requests one friend at a time and never front the villa on your own card. How to collect money for a group trip.
Can friends pay for a birthday trip in installments?
Yes. You set the deposit and the payment dates once, and each friend's card is charged automatically on those dates, with no credit check. Friends in the US can also choose Klarna, Afterpay or Affirm at checkout; a 4% fee is added to their total and the trip is paid in full.
How do we cover the birthday person's share?
Build it into everyone's price. Add up the guest of honor's room and extras, divide by the friends paying, and add that to each spot: $1,400 split across 7 friends is $200 more per spot. Then make a 100%-off promo code that can be used once (Trip Actions, Create Promo Code) and send it to the birthday person: they book their own spot, choose Pay in Full and check out at $0 with no card, so they still have a bed in a room on your dashboard. Their share is collected with everyone else's payments.
Can roommates share a villa room and each pay their own share?
Yes. Set up each villa room with its number of spots, and friends book a spot and pay for their own share. After booking they get a room link to invite their roommate into the open spot. You can move people between rooms, or add one yourself, from the Rooms tab.
How do I get people to actually commit to a birthday trip?
Ask for a deposit. A yes in the group chat costs nothing; a deposit books the spot. Post a free interest form first to see who's serious, then open booking with a deposit and a short deadline. When the villa is full, open a waitlist so late friends can still raise their hand. Make a free trip interest form.
When should the last payment be due?
Before the villa's balance is due. Villa hosts set their own schedules, and a common one wants the balance 30 to 60 days before check-in, so end every friend's plan a week or two before that. A failed payment retries on its own and asks the friend for a new card, which is why the buffer matters.
Can I add the birthday dinner, a boat day or a photographer separately?
Yes. Add each one as an add-on with its own price, such as the birthday dinner, a catamaran day, a photo shoot or an airport transfer. Friends pick the ones they want at checkout, each one is added to their total, and you see who booked what on your dashboard.
How far ahead should we plan a milestone birthday trip?
Start six to eight months out. On SquadTrip birthday trips, the typical friend books about five and a half months before the trip, and the middle half book between three and a half and eight and a half months ahead. Open booking early enough that monthly payments are small and finish before the villa balance is due.
What happens if a friend drops out after paying?
You write the trip's refund policy, and it shows on the booking page. To refund, issue a full or partial refund from the traveler's page in your dashboard; a full refund also cancels the booking and stops future payments. Their spot opens up again, so a friend on the waitlist can take it.
What does SquadTrip cost for a birthday trip?
SquadTrip is free to use, with no monthly fee. Friends pay one 6% fee on top of your price, card fees included, so on a $1,300 villa spot they pay $1,378 and the trip gets the full $1,300. Premium ($29 a month) is optional and adds custom brand colors, scheduled emails, up to 1,000 text messages a month and priority support. See pricing.
How fast does the money reach me?
Payments go straight to your own Stripe account and on to your bank, with daily or weekly payouts, so deposits are there in time to book the villa. Stripe usually takes 7 to 14 days to release your first payout, so set up your account a couple of weeks before the villa deposit is due.
What if a friend's payment fails?
The payment retries automatically and the friend is asked to update their card. They also get reminders before each payment, and you get a failed-payment alert. Your dashboard shows who is paid, who is on a plan and who is behind, and friends can pay early or change their card from their own trip page.
